HARP Post-Onboarding Reminders
Overview
Now that your organization has been onboarded to HARP, here are a few important reminders on how to keep the system as up-to-date and useful as possible for your end users.
Data Interface(s) Connections
For participants that would like to enhance their use of HARP through the addition of new data sets, it is important to alert HealthInfoNet’s Client Engagement team (clientengagement@hinfonet.org) of any new HL7 data elements available for transmission and/or new locations/departments/facilities at your organization that are capable of sharing information with the HIE. Without proper notice, new data sets may not be mapped and/or incorporated within the HIE’s services appropriately.

Organization Roster Management
Participants newly onboarded to HARP will have reviewed and validated their portion of HealthInfoNet’s organization roster at a point in time to inform several important functions, including role-based permissions, patient attribution, and rendering facility identification on encounter records.
However, it is best practice for participants to perform ongoing review and validation of their portion of the organization roster on a quarterly basis (or sooner if known organizational changes occur).
To do so, participants can follow the steps outlined below and/or reach out to HealthInfoNet’s Client Engagement team (clientengagement@hinfonet.org) to schedule a conversation.

Self-Service Organization Roster Management
Open HARP’s “User Organization” reporting dashboard.
Confirm that each of the participant’s active healthcare location(s) are identified in the dashboard. In the event of discrepancies, contact HealthInfoNet’s Client Engagement team (clientengagement@hinfonet.org) to:
Add any location(s) that are missing.
Remove any location(s) that are included erroneously.
For each of the the participant’s active healthcare location(s), validate their relationship(s) with other healthcare locations(s) (i.e., their child/parent relationships).
Open HARP’s “Patient Utilization” reporting dashboard.
Review the Inpatient, Emergency Department, and/or Long-Term Care encounters rendered at the participant’s organization and confirm that the values included in the “Rendering Facility” and “Rendering Site” fields in the dashboard’s table are accurate for the encounters rendered. In the event of discrepancies, contact HealthInfoNet’s Client Engagement team (clientengagement@hinfonet.org) to remediate.
Participant-Supplied Custom Attribution Maintenance
For participants that complete their own custom attribution files (“Participant-Supplied Custom Attribution”) to inform the type and amount of information that they are able to view within the HARP reporting dashboards, it is important to keep the files up to date with the participant’s recent patient populations.
It is best practice for participants to update their custom attribution files on a monthly-to-quarterly basis (or sooner if known organizational changes occur).
Participants actively using custom attribution can submit updated attribution files at their convenience based on their chosen secure file transfer method. For questions about maintaining their custom attribution files, participants can contact HealthInfoNet’s Customer Care team (customercare@hinfonet.org).
A few important reminders to participants leveraging custom attribution:
If the file has a new value in the roster_version field, please alert HealthInfoNet’s Customer Care team (customercare@hinfonet.org) of the new information before submitting the file.
If the file has new values in the additional_submitter_information_1 and/or additional_submitter_information_2 fields, please alert HealthInfoNet’s Customer Care team (customercare@hinfonet.org) of the new information before submitting the file.

Note: The file used in the creation of HARP’s Participant-Supplied Custom Attribution is different from the file that participants may also use to support bulk patient-panel imports into HealthInfoNet’s Notification Service. For questions about the Notification Service, please contact HealthInfoNet’s Clinical Education team (clinicaleducation@hinfonet.org).
User Management
As part of participants' HARP onboarding processes, they designate an “Account Authorizer” - an individual(s) at their organization who can approve the creation of new accounts for authorized staff. During and following onboarding, Account Authorizers are responsible for completing HealthInfoNet’s HARP New User Request Form and returning the form to HealthInfoNet’s Customer Care team (customercare@hinfonet.org) for new account creation.

For user account creation, password resets, duplicate patient record issues, attribution questions, and other technical troubleshooting assistance, contact our Customer Care team (Monday through Friday, 7:00am to 5:00pm; customercare@hinfonet.org).
For participation and contracting matters, contact our Client Engagement team (Monday through Friday, 9:00am to 5:00pm; clientengagement@hinfonet.org).
For workflow, usage, and training questions, contact our Clinical Education team (Monday through Friday, 9:00am to 5:00pm; clinicaleducation@hinfonet.org).
Outside of standard business hours, if urgent
